The Role

This role will play a pivotal part in supporting three Directors, providing high-level administrative and organisational support that enhances efficiency, streamlines operations, and enables the leadership team to focus on strategic priorities. Key responsibilities will include:

  • Providing proactive, executive support to ensure the smooth and efficient management of day-to-day operations
  • Managing complex diaries, calendars, travel arrangements, and competing priorities in a fast-paced environment
  • Coordinating meetings, preparing agendas, taking minutes, and tracking actions to support executive decision-making
  • Preparing professional correspondence, reports, presentations, and briefing materials to a high standard
  • Building and maintaining strong relationships with internal and external stakeholders while acting as a key point of contact
  • Supporting projects and business initiatives by coordinating activities, monitoring progress, and ensuring timely delivery
  • Maintaining accurate records, confidential information, and document management systems with a high level of discretion
  • Identifying and implementing process improvements, enhancing administrative efficiencies, and supporting continuous business improvement
  • Overseeing daily office operations to maintain a professional, organised, and well‑presented workspace
  • Providing oversight, leadership and training to the Studio Administrator, ensuring all administrative tasks are completed accurately and within required timeframes

About You

  • Experience supporting leadership as an Executive Assistant or a Senior Administrator
  • Proven ability to communicate effectively, maintaining discretion, confidentiality, honesty, responsibility, integrity and authenticity
  • Highly adaptable, resourceful and comfortable working in fast‑paced, agile environments with shifting priorities and changing deadlines
  • Proactive, self‑directed, and confident, with the ability to build rapport and trust quickly with senior leadership
  • Approachable and personable, with a proven ability to develop strong internal and external relationships
  • Fast learner with the capacity and desire to embrace new technology, systems, and tools
  • Experience within a similar industry or small to medium business where you’ve had to work with agility and accountability is highly desired
