Our client is a well‑established humanitarian organisation dedicated to improving health outcomes in remote and low‑resource settings globally. Working in partnership with Australian communities and international organisations, they deliver practical support and education to promote safe, healthy outcomes where access to formal medical services is limited.
An opportunity now exists for an experienced Administration Coordinator to join the team on a part time, temporary bases until the 3rd of July supporting various operational requirements.
The Role
Reporting to the Executive Director the key responsibilities include:
- Coordinate and respond to enquiries relating to the assembly of care packages.
- Process assembly day bookings, including accurate data entry into the internal database
- Liaise with assembly day coordinators to resolve queries and operational issues
- Manage and schedule requests for speaking engagements at assembly days
- Administer incoming correspondence, including collection and distribution of mail
- Maintain and update database records and email templates, liaising with system administrators as required
- Upload and manage documents and records within the organisational document library
- Maintain role‑related procedures and contribute to continuous improvement of systems and processes
About You
- Proficiency in Microsoft Office 365, including Word, Outlook and Excel
- Experience working with database systems and managing accurate records
- A friendly, patient and professional approach when dealing with others
- Strong interpersonal skills, with the ability to engage effectively with a diverse range of stakeholders
- Clear, calm and concise communication skills, both written and verbal
- Ability to work collaboratively within a team as well as independently when required
- High level of attention to detail, with a strong focus on accuracy and quality

- Must be available immediately, as this is covering Long Service Leave until July 2026.
- Flexible working arrangements, allowing you to choose when you work across the week (approximately 15–20 hours) and spread across 3 days as this is a public facing role.
- The autonomy to work remotely, or from the office located in Goodwood, with the requirement to provide your own laptop.
- Comprehensive training and a structured handover to ensure you are set up for success.
- Attendance at the fortnightly team meeting, Wednesday at 9:30am, is required.
