The Role
The role will make a significant contribution to the profile, operations, culture and people of Brown Falconer – supporting and positioning the practice internally and externally in alignment with the Brown Falconer vision and values. Reporting through to the 3x Directors, your duties will include:
- Providing senior executive support to the Director’s including comprehensive inbox and diary management, agenda preparation, meeting coordination, and serving as the primary internal and external point of contact
- Developing and overseeing a detailed calendar of events, projects and deliverables to ensure all activities are accurately scheduled and completed within required timeframes
- Keeping key stakeholders and leaders accountable to deadlines, ensuring all tasks are actioned and progressed appropriately
- Coordinating stakeholder workshops, ensuring all participants receive the necessary information, materials, and briefing packs
- Managing the preparation and coordination of submissions, including liaising with consultants to collect and consolidate data in a timely manner
- Preparing high‑quality proposals using InDesign, ensuring all information is accurate, consistent, and professionally presented
- Acting as the first point of contact for general HR matters and providing support throughout the employee lifecycle
- Coordinating end‑to‑end recruitment activities, including interview scheduling, conducting reference checks, and preparing employment contracts
- Supporting the allocation of resources through Total Synergy to ensure employees are assigned to the correct projects in line with organisational priorities
- Overseeing daily office operations to maintain a professional, organised, and well‑presented workspace
- Providing oversight, leadership and training to the Studio Administrator, ensuring all administrative tasks are completed accurately and within required timeframes
About You
- Strong background operating at a senior level as an Executive Assistant, Business Support Manager, Practice Manager, or an equivalent role
- Proven ability to communicate effectively, maintaining discretion, confidentiality, honesty, responsibility, integrity and authenticity
- Highly adaptable, resourceful and comfortable working in fast‑paced, agile environments with shifting priorities and changing deadlines
- Proactive, self‑directed, and confident, with the ability to build rapport and trust quickly with senior leadership
- Approachable and personable, with a proven ability to develop strong internal and external relationships
- Fast learner with the capacity and desire to embrace new technology, systems, and tools
- Experience in project‑based environments, such as architecture, engineering, construction, or professional services will be highly regarded (though not essential)
